How to choose a business website system

Do not start by comparing feature lists and quotes. Score the eight dimensions below on one sheet, then look at a demo, then talk about price.

The expensive mistake is rarely paying too much. It is ending up with data you cannot take with you and a system your developers cannot extend. Every item below can be asked about during selection and checked by hand.

Eight dimensions to compare

1. Source code and data ownership

How to check: Confirm that you can get the full source code, where the data lives, and whether you can move the whole site if the relationship ends. Ask exactly which directories a migration copies.

Where KingCMS X1 stands: The source is open. Copy the program directory together with data/ to a new host and it runs; the database is a single SQLite file under data/. Back up the database and app.key together, or encrypted fields cannot be decrypted.

2. Total cost

How to check: Put licensing, hosting, domains, payment fees, AI usage and maintenance labor on one sheet and calculate three years. Comparing only the first-year quote hides renewals and staff time.

Where KingCMS X1 stands: The free edition may be used commercially if the front-end Powered by KingCMS link stays. Removing the link requires a commercial license. Prices follow the current standard and promotional prices on the licensing page; hosting, payment fees and AI usage are separate.

3. Shop and inventory

How to check: If you sell goods, first confirm that orders, stock, purchasing and finance share one set of data. Place an order in the demo and watch whether stock and ledger entries update automatically.

Where KingCMS X1 stands: Shop, members, inventory, multiple warehouses, finance and statistics live in one back office and switch on per module. After payment, stock and ledger entries update automatically, with no exporting between the website and a separate ERP.

4. Multilingual support

How to check: Separate "the interface can switch languages" from "the content can be maintained in several languages." Check whether the URL stays the same and whether missing translations fall back instead of showing a blank page.

Where KingCMS X1 stands: One back office can run Chinese, English and Spanish, and the URL does not change when visitors switch. Articles, sections, single pages, products and FAQs all take translations, with AI translation followed by human review; untranslated fields fall back to Chinese.

5. AI and SEO visibility

How to check: Do not just ask whether there is an AI assistant. Check whether pages can be crawled, whether there is a sitemap and llms.txt, and whether structured data matches the visible text. Whether AI platforms cite you is their decision; a system should not promise rankings.

Where KingCMS X1 stands: It outputs sitemap.xml, robots.txt and llms.txt automatically. Products and single-page FAQs emit FAQPage structured data. Baidu and Sogou verification and Baidu push are supported, and statistics separate human from AI visits.

6. Operational effort

How to check: Confirm the stack, extensions, URL rewriting, scheduled tasks, backup and restore, and how upgrades work. Then ask whether your current team can take it over. Have the vendor perform a backup and restore in front of you.

Where KingCMS X1 stands: PHP 8.4 or later with SQLite, so no separate database server; nginx or Apache with PHP-FPM; a cron:run task every minute. The back office can back up, download and restore in one step, and online upgrades back up first and roll back on failure. The current version is beta, so a manual backup before upgrading is still recommended.

7. Portability

How to check: Ask how data leaves when you change hosts, vendors or systems. Copying the whole site and exporting a few tables are very different exit costs.

Where KingCMS X1 stands: All data sits under data/, so copying the whole directory moves the site, and backup files can be downloaded and restored. The public migration material covers whole-directory moves and database backup and restore; moving to another system requires your own conversion.

8. Licensing and compliance

How to check: Separate "the software is free" from "commercial use is free." Check whether a visible credit is required, whether licensing is per domain or per site, whether you may build sites for clients, and what happens when the domain changes.

Where KingCMS X1 stands: The free edition may be used commercially but must keep the front-end copyright link. Removing it requires a commercial license, registered per root domain and covering www and all subdomains; it is valid long-term, cannot be re-bound, and is for own use by the same economic entity only. Building sites for other economic entities requires a batch license. The official mark in the back office always stays.

A good fit if you

  • run a small or midsize business that wants website, shop, members and inventory managed together
  • do export or multilingual business and want the URL to stay the same when the language changes
  • want data on your own server and have a team that can maintain a PHP environment
  • need open source code and want to edit templates and features yourself
  • prefer to validate with the free edition or the demo before buying a license

Probably not a fit if you

  • do not want to touch a server and expect to sign up and start using it
  • must use MySQL or PostgreSQL and cannot accept SQLite
  • are a large organization that needs fine-grained, multi-level roles
  • need a feature that only a third-party plugin provides and X1 has no matching module
  • cannot accept a beta version for production and are unwilling to test first
